A leading facilities management company chose RIB 4.0 to streamline construction workflows and reduce system fragmentation by integrating internal software into a single platform.

When a leading facilities management company set out to modernize its building refurbishment workflows, they turned to RIB 4.0 to make it happen.

The goal was to bring structure and efficiency to all construction-related processes, connect IT systems and integrate all relevant systems via API interfaces. From facility data to finances, everything now talks to each other, significantly improving the company’s procurement and project workflows.

Centralized task management with RIB 4.0

During phase one of the project, the company successfully integrated the procurement process into RIB 4.0 and optimized it through a user-friendly front end. In the next phase, the creation of customer-specific proposals will be fully incorporated into the system.

For construction teams, the integration of internal software tools into RIB 4.0 will reduce disruptions between systems and enable smoother, more consistent workflows.

Since 2024, RIB 4.0 has been live as a cloud-based solution. Additional processes from the broader IT environment will be integrated in a phased approach to streamline and connect operations across the business.

Automation and process optimization

Reducing manual work is a key focus of the project.

“We want to move away from a patchwork of individual solutions toward a centralized system that enables clean, structured processes,” says the Head of Central Construction Project Management.

The goal is to minimize system breaks and ensure that project progress is consistently and transparently documented in RIB 4.0 for better decision-making.

Previously, communication with subcontractors required significant manual effort. With the successful integration of procurement processes into RIB 4.0, the company now has a centralized platform for communication and collaboration. The foundation has been laid for further automation and optimization, and additional processes will follow. The company expects this will lead to continuous improvements in transparency and data accuracy throughout its workflows.

Custom workflows and operational involvement

“Our job is to develop tailored workflows that align with internal processes and customer needs, while also following RIB 4.0 standards. It’s crucial that we keep our operational teams involved throughout,” says the Head of Project Management.

To ensure successful adoption, the company has identified ‘power users’ who are trained in a train-the-trainer manner who pass their knowledge on to colleagues. Short learning videos are also being produced to demonstrate use cases. Regular newsletters help maintain clear communication across the organization.
